Paylist Integrations: Xero, QuickBooks, Sage and FreeAgent

Your accounting software knows which suppliers you use. It knows what you owe them. It records invoices and payments.

But it doesn't necessarily know whether the bank details sitting against each supplier are still correct.

That's where Paylist's accounting integrations come in. Paylist integrates with Xero, QuickBooks, Sage and FreeAgent, allowing verified supplier bank details to flow into your accounting software.

Why integrate Paylist with your accounting software?

Without an integration, somebody has to take the supplier's bank details and put them into the accounting system. That usually means copying a sort code and account number from an invoice, email or PDF.

It's a small task — but it is repeated hundreds or thousands of times by many finance teams. And every manual entry introduces the possibility of:

  • typing errors;
  • outdated bank details;
  • fraudulent bank-detail changes;
  • unnecessary administration;
  • inconsistent supplier records.

Paylist removes much of that manual work by connecting your accounting software directly to a verified source of supplier bank information.

Paylist + Xero

With Paylist for Xero, you authorise the connection using Xero's secure OAuth process, match your existing Xero contacts with verified Paylist businesses and allow verified bank details to be synchronised.

When a supplier changes its verified bank details in Paylist, the connected Xero contact is updated automatically and instantly.

Xero is also currently the only Paylist integration that supports employee payroll synchronisation.

Paylist + QuickBooks

Paylist can synchronise verified supplier bank details with QuickBooks.

QuickBooks does not have a dedicated bank-details field in the relevant supplier record, so Paylist attaches the verified information as a file rather than putting it into a dedicated bank field.

The important point remains the same: the information originates from the supplier's verified Paylist record rather than being manually copied from an invoice.

Paylist + Sage

Paylist can connect to Sage and keep verified supplier bank information up to date.

After authorising the connection, you can import your existing contacts, match suppliers to verified Paylist businesses and allow the integration to maintain the information.

Paylist + FreeAgent

FreeAgent users can connect securely to Paylist and import existing supplier contacts.

Once suppliers have been matched, their verified bank details are synchronised with FreeAgent automatically. Because FreeAgent does not have a dedicated bank-details field for contacts, Paylist stores the information in a clearly marked contact note.

Why integration is safer

The biggest security benefit isn't simply that the integration is automated. It is that it reduces reliance on manual data transfer.

Paylist uses the accounting software provider's official OAuth authentication process. Your accounting software password is therefore never given to Paylist.

Bank details stored by Paylist are encrypted using per-row encryption keys, with access controls applied as the default setting.

Integration also reduces the number of opportunities for human error and fraud. Instead of somebody reading an account number from an invoice and typing it into Xero, Sage, QuickBooks or FreeAgent, the verified information can be transferred electronically.
